GIFSQ Tools · Module 14 — LIMS & Quality · Tool 261 of 500
Log a sample in with its accession number, and check the sample volume covers every aliquot the tests need — before the sample goes to the bench.
Try sample values — fills the form with the worked example below.
–
Accession number
–
Aliquots needed
–
Volume needed (mL)
–
Shortfall (mL)
Equation: Accession number = LAB-YYYY-NNNN (year, then the sequence padded to 4 digits). Aliquots = tests × replicates + spares. Volume needed (mL) = aliquots × volume per aliquot. Shortfall (mL) = volume needed − volume available, or 0 when the sample is enough.
Method: Sample login and accessioning per ISO/IEC 17025:2017, clause 7.4 (handling of test items): each sample gets one unique accession number at receipt, and the laboratory checks that the amount received covers the requested work before testing starts.
Assumptions: one accession number covers one sample; aliquots are all the same volume; the spare aliquots are held for retest, not used in the first run.
Limitations: this tool does not check sample condition, temperature on receipt or holding time — those are separate receipt checks (see Tool 263); a sample can be enough in volume and still be unsuitable.
Rounding: aliquots and shortfall are whole numbers; volume needed to 1 decimal place; intermediates unrounded.
This is a calculation aid, not a laboratory report — confirm against your accredited method before citing a value. Records are kept only in this browser on this device (localStorage); this is a device-only record aid, not a shared multi-user LIMS, and nothing is sent to any server.

Worked example: Sample 42 of 2026, 3 tests × 2 replicates + 1 spare, 5 mL per aliquot: accession LAB-2026-0042, 7 aliquots, 35.0 mL needed — a 50 mL sample covers it with no shortfall.

Accession numbers run in one sequence per year; never reuse a number, even for a rejected sample. Tool 261 of 500 — GIFSQ
